The health and safety of all HFSA 2021 attendees, exhibitors, HFSA staff, and event support staff is our top priority. Our hybrid meeting experience allows attendees to participate safely, selecting the option that works best for them.

HFSA is working in partnership with the Gaylord Rockies to ensure that we adhere to all local, state, and CDC regulations and guidelines. Here’s what you can expect when you arrive at the Gaylord Rockies and more information on their multi-pronged approach outlined in Marriott's Commitment to Clean. The state of Colorado Tourism Office is recommending responsible tourism, including five simple tips to keep both residents and visitors safe.

We will continue to update you on the safety protocols as they are finalized. Examples of the safety protocols include: 

  • Conducting temperature checks of all attendees each morning of the conference 
  • Limiting session room and exhibit hall capacity to ensure appropriate physical distancing
  • Crafting an exhibit hall floorplan to ensure appropriate physical distancing
  • Adding sanitization stations throughout meeting rooms, hallways, and registration areas
  • Installing screens / computers / printers at the registration desk to ensure contact-less badge printouts 
  • All shared equipment and meeting amenities are sanitized before and after each use or are single use if not able to be sanitized. This includes wiping down podiums, microphones, and PowerPoint clickers between all speakers
  • Offering social distanced viewing areas with large screens to accommodate overflow attendees from maxed capacity session rooms
  • Buffets and coffee break stations are attended and served by an attendant to eliminate guest contact on serving utensils
  • Prepackaged food on coffee breaks and individually packaged beverages (no pitchers or carafes) are served 
  • Disposable cups and glasses are used for all breaks; Flatware is provided as a roll-up 
  • Butler passed food and beverage is suspended; Preset food and drinks is restricted; All meals will be boxed or pre-packaged foods
  • Partitions for food service lines have been installed 
  • All linen, including underlays, are replaced after each use
  • Extensive use of outdoor space for evening and networking functions
  • Attendee PPE kits at registration check-in
  • Social distancing floor decals
  • Hotel mobile app check-in/out
  • Ample health and safety signage
