With our Annual Scientific Meeting less than one month away, I wanted to take a moment to remind everyone (including our over 1,000 registrants and those who are planning to register) about the steps that the Heart Failure Society of America is taking so that we have a safe and productive meeting in mid-September.
The HFSA Safety Advisory Taskforce, comprised of a top local infection disease expert and HFSA members located in the Denver area, continues to monitor the situation in Colorado. Additionally, we are working closely with the Gaylord Rockies to ensure we’re taking appropriate safety precautions. We are implementing the following measures to make sure all onsite attendees feel safe:
- Providing color-coded lanyards in Green, Yellow and Red so that each attendee can indicate their level of comfort with social distancing (see below)
- Ensuring that we follow all local safety protocols
- Shorter session times and longer transition times to allow lighter traffic flow and longer breaks to wash/sanitize hands
- Contact-less badge printouts
- Limited capacity in session rooms and exhibit hall
- Offering outdoor connection areas where attendees can live-stream sessions if rooms are crowded, using their personal devices while enjoying the beautiful Denver scenery
- Holding large networking functions in outdoor spaces
- An exhibit hall floorplan designed to ensure appropriate physical distancing and flow
- Sanitation stations throughout meeting rooms, hallways, and registration areas
- Sanitizing all shared equipment and meeting amenities before and after each use. This includes wiping down podiums, microphones, and PowerPoint clickers between all speakers
- All staff, vendors, and attendees will be asked to self-screen for symptoms or other risk factors of COVID-19 daily, using CDC’s COVID-19 screen tool prior to admittance to meeting spaces

Registration Rates + Change Policies
You may have already heard that the lower early bird registration rates have now replaced the standard rates. These lower rates will remain in place throughout the meeting, including for onsite registration for any latecomers or Colorado natives who come in for a day or two. In addition, we made sure to offer you the chance to switch your registration type through September 10 – no matter if you change from Virtual to In-Person or In-Person to Virtual you can do so without incurring an additional fee. Of course, you are always welcome to submit a substitution if you’re unable to attend at all.
