SPEAKER GUIDELINES
Thank you for agreeing to serve as a speaker at the 2024 HFSA Annual Scientific Meeting. We appreciate your willingness to participate. Below you will find information on the following:

- Faculty Disclosures – Two Weeks Upon Acceptance
- Faculty disclosures are due two weeks upon acceptance in the HFSA Centralized Disclosure Site.
- Submit your disclosures using the same email address you received your invitation. If you forgot your password, click the "Forgot Password" link to reset it.
- Submission Deadlines – Due September 9th :
- Faculty headshots, biographies, and presentation slides are due by September 9 in the 2024 Presentation Management Portal
- Download the HFSA ASM 2024 PowerPoint template for your presentations.
- Time Allotment:
- To maintain the program schedule and allow fair time allocation, speaker timers will be used during the session. When a speaker's allotted time is up, their slides will go dark. It is important to respect the schedule, preserve time for Q&A, and conclude presentations promptly.
- Fair and Balanced: Presentations must be free of commercial bias. Use generic terms instead of trade names for drugs or devices.
- Off-Label Uses: Unlabeled or investigational uses may be discussed if the speaker informs the audience that they are off-label or investigational.
- Patient Care Recommendations: Recommendations must be based on accepted evidence within the medical profession.
- Aspect Ratio: Use the HFSA ASM 2024 PowerPoint template with a 16:9 aspect ratio. The standard resolution for the meeting room is 1280x720 for 16:9 presentations.
- Disclosure Slides: The presentation management system will display disclosures before your presentation begins. Moderators may also have a disclosure slide played at the session's start.
- Learning Objectives Slide: Include a dedicated "Learning Objectives" slide in your presentation.
- Summary Slide: Include a dedicated "Summary" slide at the end of your presentation.
Faculty Disclosures Deadline: Two Weeks Upon Acceptance
- Login to the HFSA Centralized Disclosure Site
- Click your name in the top menu bar and select “Disclosure” from the drop down menu
- Follow the prompts to complete your disclosure and finalize
IMPORTANT: Use the same email address you received your faculty invitation. If you forgot your password, click the "Forgot Password" link to reset it.

How to Submit Presentation Slides

Faculty Photo and Biography Deadline: September 9
How to Submit Faculty Photo (High resolution, 600x600 pixels, PNG or JPEG) and Biography
- Log into 2024 Presentation Management Portal
- Click on your name in the upper right-hand corner and select "My Profile" from the drop-down menu:
- Submit photo: Click the "Camera" icon and upload image from your computer.
- Submit biography: type your biography in the allotted text box
Trouble logging into the 2024 Presentation Management System?
If you do not know your login name, click the "Forget Your Password?" link on the login page. When you enter your email address, both your login name and temporary password will be emailed to you.
After submitting a file, you will receive a confirmation email within an hour. If you do not receive confirmation, please contact [email protected] to ensure your file was received.
Please be sure to read the guidelines on the Orchestrate website before uploading your presentation. If you need assistance or have questions about uploading your presentation, please contact [email protected] and reference HFSA 2024 ASM.
Before the session:
- Arrive to the session room a 15-minutes early to get to know the room.
- Check in with your session moderator.
- Locate the presentation clock for speakers.
During the session:
- Start of the presentation:
- Connect with the audience through eye contact and a warm introduction.
- Encourage active participation from the audience.
- During the presentation:
- Review your disclosures (automatically displayed by the system).
- Clearly state the learning objectives at the beginning and dedicate a slide to them.
- Engage the entire audience by maintaining eye contact.
- Respect the allotted time and allow time for questions.
- Audience Q&A:
- Wait for the person being addressed to finish before responding.
- Avoid confrontational responses.
After the session:
- Provide any feedback to the HFSA Education Team. Email [email protected].
