Session Proposal Submission Timelines
Submission Site Closes: February 3, 2025
Proposals will not be accepted after the deadline.
IMPORTANT:
- Due to the limited number of session slots, the program committee reserves the right to modify, combine, and revise all proposals, including their content and proposed speakers or moderators, to ensure balanced and consolidated representation.
- Submitters are required to complete a disclosure to submit a session proposal.
Information for Submitting a Proposal
If you are considering submitting a session proposal for the 2025 HFSA Annual Scientific Meeting, please review the following information to guide you through the process.
Suggested Session Proposal Topics
Below are the suggested session topics for 2025. If your proposal does not align with these topics, you may select "Other" during the submission process.
- Advanced heart failure, durable mechanical circulatory support, and transplantation
- Basic and translational science, biomarkers, -omics, precision medicine
- Business of heart failure (health policy and economics)
- Caregiving, patient perspectives, palliation and end of life
- Cardio-oncology
- Cardiogenic shock, temporary mechanical circulatory support, and critical care cardiology
- Comorbidities (kidney disease, diabetes, lung disease, sleep disorders, anemia, COVID-19)
- Epidemiology and global heart failure
- Genetics and inherited cardiomyopathies
- HFpEF clinical care, management strategies, new interventions
- HFrEF/HFimpEF/HFmrEF clinical care, management strategies, new interventions
- Hospitalized HF, readmissions
- Infiltrative cardiomyopathies (sarcoidosis, amyloidosis) and myocarditis
- Leadership and education
- Non-MCS heart failure devices (remote monitoring, EP devices, structural, other innovations)
- Nutrition, metabolism, obesity, and exercise
- Population health, social determinants of health and disparities of care, outcomes research
- Pulmonary hypertension and right heart failure
- Quality improvement and implementation
Submission Steps

To submit a session proposal, log in to the HFSA 2025 Submission Portal using your HFSA Member Portal credentials.

Complete your disclosures by following these steps:
- Click your name in the top-right menu and select “Disclosure.”
- Enter and finalize your disclosures in the HFSA Disclosure Portal. Note: Incomplete disclosures will block submission.
- Click “Return to Dashboard” to return to the Submission Portal.

Scroll to the bottom of the page and select “+ Add New” next to Proposals.
- If the option is unavailable, check the deadline or ensure your disclosures are finalized.
Under the "Session Information" Submission Step, you will need the following information:
- Session Title: 300-character limit
- Session Description: 3,000-character limit
- Session Type: Select one of the following:
- Didactic Session (60 mins)
- Debate Session (60 mins)
- How-To Session (60 mins)
- Need-to-Know Session (30 mins)
- Other/Innovative Teaching Method
- Presentation Only (10-15 mins)
- Session Topic Area: Select from the suggested topics or choose "Other."
- Target Audience
After completing the "Session Information" Submission Step, you will be prompted enter a session moderator. Each proposal must include at least one moderator.
Adding a Moderator
To add a moderator:
- Search for your moderator using their last name or email in the portal.
- If the moderator cannot be found, you must manually enter the following information:
- First Name and Last Name
- Degrees
- Email Address
- Institution
- Professional Category
- Gender and Ethnicity* (optional, for diversity and inclusion purposes)
Eligibility of Moderators
Moderators cannot be employed, a principal owner, or a partner of an ineligible company.
Ineligible Companies:
Organizations whose primary business is producing, marketing, selling, re-selling, or distributing healthcare products used by or on patients. Examples include:
- Advertising, marketing, or communication firms whose clients are ineligible companies
- Bio-medical startups that have begun a governmental regulatory approval process
- Compounding pharmacies that manufacture proprietary compounds
- Device manufacturers/distributors
- Diagnostic labs that sell proprietary products
- Growers/distributors/manufacturers/sellers of medical foods and dietary supplements
- Manufacturers of health-related wearable products
- Pharmaceutical companies or distributors
- Pharmacy benefit managers

After completing the "Moderator" Submission Step, you will be prompted to enter speaker and presentation information.
Adding a Speaker
Each presentation must have at least one speaker. Speaker alternates are not required but are highly encouraged.
To add a speaker:
- Search for your speaker using their last name or email in the portal.
- If the speaker cannot be found, you must manually enter the following information:
- First Name and Last Name
- Degrees
- Email Address
- Institution
- Professional Category
- Gender and Ethnicity* (optional, for diversity and inclusion purposes)

- Presentation Title
- Presentation Length (in minutes)
- Presentation Description: 1,500-character limit

After completing each submission step, you will reach the "Summary" Submission Step, which provides an overview of your proposal. You will also have the option to print the summary for your records.
Review Process
All proposals will be considered by the ASM Program Committee go through a rigorous and multi-stage review process in a genuine effort to ensure the best possible scientific program containing high-quality sessions. The ASM Program Committee reserves the right to modify, combine, and revise all proposals, including both content and proposed speakers/moderators.
It is important to stress that only a fraction of the submitted proposals can be selected for inclusion in the final HFSA 2025 program.
