MODERATOR GUIDELINES
Moderators play a pivotal role in the delivery and success of each session.
As a moderator, your primary responsibilities:
- Serve as the on-site team leader of your session.
- Introduce the speakers.
- Keep the session engaging and on-time.
- Facilitate a dynamic Q&A/Discussion
Steps a Moderator Should Take in Advance of the Meeting
A key to success is being prepared for your role as a moderator. Below are steps that you should take to prepare for your session:
- Review the session details sheet to understand the structure, goals, and topics.
- Familiarize yourself with the presenters by reviewing their profiles and recent publications related to the topic.
- Coordinate with your co-moderator through email to plan the session and discuss responsibilities, including session introductions.
- Introduce yourself to the presenters via email, and discuss session goals, time allotment, and address any concerns or clarifications they may have about their talks.
- Consider organizing a session planning meeting with all the speakers and moderators.
- Prepare at least one question for each presenter in case there are no questions from the audience. You can inform the presenters of the questions ahead of time to help them prepare.
- If unsure about the pronunciation of a presenter's name, ask them for the correct pronunciation. Also, verify their institutions and how they would like to be introduced during the session.
Best Practices Before, During, and After the Session: For Moderators
Before the Session
- Arrive early to familiarize yourself with the room setup and ensure readiness of speakers and A/V systems.
- Be sure there is a visible presentation clock for faculty presenters. Speak to the in-room AV tech to set speaker times.
- Inform presenters of the expected presentation duration and your plan to provide time notices.
- Familiarize yourself with the audience response systems (ARS) and identify standing microphones for audience questions.
During the Session
- At the start of the Session:
- Engage the audience through eye contact and deliver a warm introduction, including the session title, description, and learning goals.
- Encourage active participation, emphasizing that the session aims to facilitate listening, learning, and engagement.
- Foster an enthusiastic and collegial atmosphere with the speakers.
- Clearly communicate the timing and format of the Q&A segment(s), specifying whether it will be after individual presentations or during a panel discussion, and provide instructions on how the audience can participate.:
- During the presentation(s):
- Introduce each speaker respectfully, taking into account their preferences.
- Notify presenters in a timely manner when their time limit is approaching.
- Use flexible session elements to maintain the schedule, such as adjusting the length of speaker introductions or Q&A duration.
- Engage the entire audience by maintaining eye contact with everyone.
- After the speaker(s) finish:
- For sessions with Audience Q&A:
- Invite all speakers to the head table.
- Remind the audience how to submit questions.
- Ask at least one question to each presenter/panelist, adding your own questions if needed.
- Direct questions at specific individuals by addressing them by name.
- Ask opinion-based questions and allow the speakers to respond without answering them yourself.
- Make connections between panelists' comments and audience members' experiences.
- Consider summarizing or reiterating key take-home messages at the end of the session.

- Click on your name in the upper right-hand corner and select "My Profile" from the drop-down menu:
- Submit Photo: Click the "Camera" icon and upload image from your computer.
- Submit Biography: type your biography in the allotted text box
